A Single Place of Truth will save administration costs and improve corporate security
Businesses often struggle to get a "Single Place of Truth" (SPOT) for all their corporate identities. A SPOT is a valuable concept because from the one place it is possible to manage access to all business assets and to minimise wasted time downstream - when staff check and recheck if the information they have been given is still accurate or when different departments feel obliged to keep their own records which require separate administration.
Payroll records are not good enough
Businesses often try to use their payroll records as the primary source of truth for corporate identities but will find that there is a natural lag - for example new starters may need to use corporate systems on the day they start - but it may take a number of weeks before they are on the payroll. Also the payroll/employee system usually will not cover contractors- so there is usually a requirement to blend at least two sources of truth to get a definitive list of all corporate identities. A SPOT need not be a "Single Source of Truth". Projects that try to achieve a Single Source of Truth often stall because the require too much process re-engineering. A SPOT can be achieved by leaving sources undisturbed and using synchronisation, monitoring and merging tools to ensure that a change in a subsystem ( such as Payroll ) is quickly reflected in the SPOT.
When a business has a reliable SPOT it can:
- Provision services to any business stakeholder quickly and automatically
- Provide accurate and current information to any system for workflow and access purposes
- Keep the corporate directory current
- Terminate the access of a stakeholder to any system quickly
Without a reliable SPOT:
- a lot of communication and paperwork needs to happen to make changes to security and processes
- There is a greater potential for breaches in security because of misinformation
- Business are less agile
